CRM Company Records

Detailed company information on Customers and Prospects are maintained with 10 selection criteria, drill down facility into the prospects' web site, Bing maps web lookups for directions and direct company searches from Companies House for data cleansing. Memo notes are included with cut and paste facilities for storing company information into the CRM Software. Links to Postcode software validation, company information and Mint business intelligence software and download company and address details.

 Company Contacts

The CRM Software records multiple contacts holding job titles, direct dial and mobile phone numbers, e-mail details and contact memo notes. E-mails can be directed to any contact by a mouse click and a contact can be found throughout all the customer records from a surname enquiry or by a global e-mail look-up. Facility provided for Salesman Call Management using varying call frequency.

 

CRM Company Activities

Launches Microsoft Word Software and automatically inserts standard letter templates. The activities can be drilled down to display the actions, follow-ups and memo notes held against each enquiry. The quotation entry screen launched from the activity screen cross references the letter sent with the quotation. Documents can be printed, e-mailed as an attachment or faxed. This area also holds multi-documents against each activity, ie Excel files, jpegs, etc.

Reminders, Appointments and Tasks

The CRM Software user's reminders, and tasks can be linked directly to the user's Microsoft Outlook Tasks and with the ability to assign tasks to other users.  Appointments can likewise be added to the User's Calendar and inviting other staff to attend.

Tele-Sales

Dealer CRM Software allows targeted companies to be followed up by telesales staff and the activities updated with future tasks or actions which can be assigned to other staff. 

Quotations and Order Processing

Full quotation system with complete product description and specification lookups. Holds full discount and profitability and has varying quotation print options. Items can be added to a quotation on the fly from supplier websites and automatically created into the accounts system upon receipt of the sales order.  Accepted quotations produce a sales order which increments the weekly and monthly order totals and transfers in to the accounts package. For quotation retrieval a summary screen is available with drill-down to product information. The system has a powerful search facility - enabling you to find products by stock code, description or a distributor's stock list. Customer or Template Quotes can be duplicated and modified for existing or differing customers.

Stock Records

Holds full product details identifying the main supplier information and customer records where the product has been sold and any outstanding quotations.

Invoice and Product History

Invoice history can be downloaded from the accounts package, is viewable by summary with drill-down to the product details. Likewise, the customers' product history can be displayed. Click the mouse on a product code to drill down to the relevant stock screen holding full customer and supplier history, product specification and product sales statistics.

Accounts Integration

Dealer CRM Software directly links with Iris Exchequer, Pegasus Opera or Sage 50 enabling the creation of accounts, orders, products, suppliers and invoices directly from Dealer, along with real-time enquiries from the accounts package for items such as credit limits, customer balances, credit controller notes and stock enquiries.

Supplier Relationship Management

A separate supplier screen with supplier invoice, product history and document management of supplier correspondence replicates many of the features of the customer screen. 

Selection Query

A selection screen enables companies to be picked by a variety of parameterised criteria to produce a mailing list. The selected list allows amendment prior to generating a mail merge into a Word or HTML document for emailing. This option also holds an SQL-type query for exporting information to Excel.

CRM Campaigns

Holds details of company events or marketing campaigns, such as open days or mailshots. It records the customers that have accepted and attended. By linking the activity to the campaign, quotation and sales information can be logged against the campaign giving instant analysis of campaign effectiveness.

Pipelines & Enquiry Stages

Stock ranges and groups can be categorised into different pipelines with different managers to monitor and report the stages reached, the expected sale date, the probability percentage and the number of days the enquiry has been open.

CRM Sales Manager

Entries made on the CRM Software Activities screen with follow up details automatically populate the Sales Manager screen and also Microsoft Outlook diaries. This area is used for marketing and follow-up of clients and prospects. Various filters and marketing reports are available within this option, ie sales top customers.
